Booking Confirmation
At the time of booking is confirmed, we require a £100 initial deposit to be paid via online banking. Bank Details will be sent to you in order to complete this. The remaining balance is payable anytime prior to the party or can be paid in cash or online while we are on site. A provisional booking can be made but to confirm, payment must be received within 7 days. Bookings are not secured until the £100 deposit is received, so please do not send out invitations until you have confirmation from us that we have received your deposit.
Cancellation
If you need to cancel your booking, our cancellation policy is as follows:
All cancelations must be submitted in writing via email.
Cancellation charges:
1. Receive a full refund is cancelled over 28 days prior to the event.
2. 50% of your deposit for a cancellation between 28 and 15 days prior to the event.
3. 0% of your deposit for a cancellation under 15 days prior to the event.
However, if we are able to get a replacement booking for your chosen slot, then a full refund will be given regardless of when you cancelled.
If cancelling due to a positive Covid test, then our cancellation policy remains in place, as this is still a cancellation through no fault of GRFX Gaming Ltd. We will, however, endeavour to try to find a suitable date to reschedule. Any parties originally booked for a Friday, Saturday or Sunday will not be able to reschedule to another Friday, Saturday or Sunday. Instead they must be rescheduled to a mid week Mon-Thu party to save further lost revenue.
If you cancel your fully paid confirmed booking within 72 hours of the party date, including bookings made within 3 days of our arrival, no refund will be given and you will be charged the full party rate.
The Company reserves the right to cancel, alter, or delay any booking where forced to do so by circumstances beyond our control, such as serious illness, severe weather or any other circumstances which would subject or any of its employees or any of its participants to danger. However, a full refund will be offered or an alternative date arranged.

In the unlikely event of a major technical failure on board GRFXgaming.com (not that this has ever happened) a full refund will be offered or an alternative date arranged.
If on arrival we find the venue to be unsuitable for any reason we reserve the right to abort the session without compensation.
Age Appropriate Gaming
At the time of the booking, our team member will ask the age group of the party. We will discuss with you which games they can and can’t play so each party can be tailored to your own requirements.
It is the party organiser’s responsibility to ensure that parental consent is obtained from all parents/guardians of party guests to play age related games. In the event of an out of age game being requested the crew will ask the organiser for a final decision to be made. We cannot be held responsible in any way for obtaining the permission of the guests parents/guardians.
Liability
Although we will endeavor to arrive half an hour before the time booked we cannot be held responsible for events such as traffic hold ups. We will in the event of late arrival continue the session until the correct amount of time has elapsed.
Under no circumstances can we be held responsible for any damage to driveway or ground that is considered to be caused by our staff, van or party attendees. It is the party organiser’s responsibility to take advice from a qualified person whether the grounds are suitable.
In the unlikely event of a electrical fault, either a full refund will be offered or another date to be arranged
Damages
In the event of any damage to our equipment or vehicle that has happened due to vandalism or ill treatment, we reserve the right to charge to the party organiser the full amount to repair and/or replace the equipment. Any damages that occur must be reported to a member of the team when it happens.
Photography
During the event we may take some photos and videos for marketing, advertising or for the website. If you do not want us to take photos, please inform us. The team member upon site will ask beforehand to double check.
Food & Drinks Consumption
No food or drinks is allowed on board throughout the party.
Smoking
GRFX Gaming Van is strictly a no smoking vehicle
Safety of Participants
We have a zero tolerate to ANY bad or threatening behavior and bad language to our team or other party goers.
We have the right to remove anybody who is found to be unmanageable or a danger to the safety or enjoyment of others. We also reserve the right to end the session immediately if required. If this happens, no refund will be given or the right to rebook another party.
Any additional costs involved in removing the participant will be charged to the client.
We will accept no liability for any issues arising from failure to accept and/or respond to the authority and instructions of the appointed staff.
Insurance
GRFX Gaming Ltd ® has full Public Liability Insurance and all of our team have clear CRB checks. Details of this will be available either prior to the event or alternatively can be provided on the day.
